FINANCIAL AND CONTRACT ADMINISTRATOR, MIT.nano, under the supervision of the Director of Administration and Finance, to provide comprehensive financial and legal support and administer financial and legal activities related to MIT.nano general operations, construction, projects, service centers, consortium membership, and program activities with an annual expenditure volume of $20M and a service center user base exceeding 1,000 external and internal users. This support includes reviewing, approving, and tracking financial transactions; creating complex financial spreadsheets; and drafting and tracking of legal agreements.

Principal Duties and Responsibilities
 
Financial 50%
Responsibilities include consistent tracking, monitoring and reconciling of multiple, very active cost objects; allocation, reporting, and certification of salary distribution for 50 plus personnel across multiple cost objects; responsible for sick time and vacation time tracking; maintaining detailed commitment reports and other spreadsheets/reports for a diverse set of activities; monitoring dozens of cost objects to ensure compliance with MIT policies and consistency with approved funding allocations and budgets; administering and authorizing operating expenses to ensure timely creation of POs, payment of RFPs and invoices, and approval of P-card and travel expenses; assisting with the annual budget process and monthly and fiscal year-end closings; developing and maintaining financial reports, analyses, and forecasts; analyzes financial processes, reporting and systems and recommends/implements improvements.
 
Legal 50%
Working with MIT’s Office of the General Counsel to ensure accuracy and compliance with MIT policies, will be responsible for dozens of legal documents which require: drafting, processing, and tracking all Consortium Membership agreements and external user agreements for Service Centers, and gathering/tracking necessary insurance requirements; creating and tracking MOUs for Equipment Support Plans (ESPs); and creating and/or reviewing equipment loan/donation agreements.
 
Handling special projects as assigned and other duties as needed or required.
 
Education & Experience:
 
REQUIRED: bachelor’s degree; at least 5 years accounting or finance experience; strong analytical, communication, and organizational skills; ability to multitask and prioritize work; meticulous attention to detail; proficiency with Microsoft Office (Excel, Word, PowerPoint); discretion and judgment with confidential information.
 
PREFERRED EDUCATION AND EXPERIENCE: Minimum 5 years of experience in a law firm or an in house legal office; MIT experience and working knowledge of its financial systems, e.g., SAP, Coupa (B2P), Cognos, and BrioQuery.
